Toko Tekno Conquers a 4,000-SKU Maze: How BigSeller WMS Automation Rescued the Business from the "Human Error" Trap

Behind the glow of digital screens and the convenience of one-click online shopping lies an operational ecosystem working like an industrial machine behind the scenes. For thousands of e-commerce sellers in Indonesia, the warehouse is the real battleground. It is where promises to customers are either fulfilled or broken by operational mistakes.

Toko Tekno (PT Vin Teknologi), a major name in electronics retail and gadget accessories, understands this harsh reality well. With a massive volume of goods moving every day, its warehouse regularly faces the complexity of modern logistics. Managing an extensive catalog of approximately 3,000 to 4,000 Stock Keeping Units (SKUs), the company has made shipping accuracy a top management priority.

As a business pursuing an omnichannel strategy, Toko Tekno does not rely only on online orders from multiple marketplaces. It also actively reaches customers through offline channels.

"Every year, we participate in 10 to 12 major events, including the Jakarta Fair (PRJ), Japanese cultural exhibitions, music concerts, and campus bazaars," explained Vincent, Director of Toko Tekno.

The combination of high online order volume and dynamic offline sales created a complex operational maze. At the center of it was a classic problem feared by e-commerce businesses everywhere: human error.

The Illusion of Accuracy and the Hidden Threat of Wrong Shipments

In order fulfillment, shipping the wrong product is not a minor incident. It creates serious financial leakage and reputational damage. When warehouse staff rely only on their eyesight and visual memory to pick and pack products, human fatigue becomes a highly vulnerable variable.

"The human eye has a limit. When our staff have to distinguish between thousands of product variations, from colors that differ by only one shade to cable types with nearly identical dimensions, mistakes are inevitable. Wrong shipments are common when operations rely only on manual labor without system support," Vincent explained.

The consequences of a wrong shipment multiply quickly. A disappointed customer may request a return, forcing the company to pay shipping costs twice. Even worse, a one-star review can reduce the store's visibility in marketplace algorithms and ultimately restrict future revenue potential.

Realizing that relying on staff attentiveness while processing thousands of orders was an operational time bomb, Toko Tekno decided to begin a digital transformation. The company moved away from manual methods and adopted BigSeller's integrated technology.

BigSeller WMS: Turning Fatigue into Barcode-Based Accuracy

Toko Tekno's biggest transformation began when it implemented BigSeller's Warehouse Management System (WMS). WMS is not merely an inventory recording tool. It acts as the digital brain that precisely controls the entire movement of goods within the warehouse.

For Vincent and his team, one of BigSeller's most important features, and the one that delivered an immediate impact, was the barcode-based Scan to Inspect system. This feature radically changed the warehouse's standard operating procedures.

Here is how the feature works to reduce human error:

  • Automatic order accuracy verification: Instead of reading shipping labels and searching for products manually, warehouse staff use scanners. When processing an order, the employee scans the barcode on the shipping label and then scans the barcode on the physical product.
  • Visual and audio indicators: BigSeller WMS provides an immediate response. If the scanned item matches the customer's order, the system displays a green indicator. If the employee accidentally picks the wrong product variation, the system blocks the process, sounds an alert, and displays a visual warning. "The system now filters out mistakes instead of relying on tired staff members' eyes," Vincent emphasized.
  • Overselling prevention: Through BigSeller's omnichannel integration, each item leaving the warehouse after scanning is automatically deducted from inventory across all connected marketplaces. This prevents new orders from being placed for products that are already out of stock.

Implementation Guide: How to Use BigSeller WMS Features

For sellers who want to replicate Toko Tekno's operational improvements, the following guide explains how to use two essential BigSeller WMS features.

1. How to Use Scan to Inspect

This feature is designed to ensure a complete match between the shipping label and the physical product before the parcel is handed over to the logistics provider.

Configuration steps:

  1. Open the Scan and Inspect page by navigating to Waiting to Print > Scan and Ship > Scan and Inspect.
  2. When using the feature for the first time, configure what should happen after product inspection is complete. You can enable automatic shipment confirmation and print a receipt containing the tracking number.
  3. Scan or enter the tracking number or package number. Then scan the product barcode, or enter the warehouse SKU or GTIN.
  4. The product quantity can be scanned or entered manually.
  5. After inspection, the order will appear in the inspection history. If Orders Shipped After Inspection is enabled, the order will be recorded in the inspection history and automatically moved to Shipped Orders. If the option is not enabled, the order will remain only in the inspection history.

2. How to Configure Shelf Management

This feature is essential for sellers managing more than 1,000 SKUs because it minimizes warehouse staff walking time.

Configuration steps:

  1. Create a warehouse map: Go to Warehouse > Warehouse Settings, then select Shelf Management.
  2. Create new shelves automatically:
    • Click + Add Shelf.
    • Enter your warehouse coding format. For example: Zone (A), Row (01), Column (02), and Level (03). The system will generate a unique shelf code such as A-01-02-03.
  3. Bind products to shelves:
    • Go to Warehouse > Warehouse SKU.
    • Select a specific SKU, such as a red Type-C data cable, and click Edit.
    • Enter the shelf location code, such as A-01-02-03, in the Shelf Location field and save the change.
  4. Print picking lists: When a bulk picking list is printed for 50 orders at once, BigSeller automatically sorts the products according to the shelf sequence from A to Z. Staff can follow one continuous route instead of repeatedly walking back and forth through warehouse aisles.

Shelf Digitization Plan: The Next Stage of Toko Tekno's Warehouse Evolution

The efficiency achieved through barcode scanning is only the first stage of Toko Tekno's warehouse transformation. With a solid BigSeller WMS foundation in place, Vincent revealed the company's plan to move toward more advanced warehouse space management.

Toko Tekno is currently transitioning to BigSeller's Shelf Management system. With as many as 4,000 SKUs, allowing products to be placed randomly creates unnecessary time waste.

With BigSeller WMS Shelf Management, Toko Tekno can map its physical warehouse into a digital system. Every aisle and shelf can be assigned a unique code, such as Shelf A, Row 2, Level 3.

  • Optimized picking routes: When orders are printed through BigSeller, the system will display not only the product name but also the product's exact warehouse coordinates.
  • Reduced walking time: Staff no longer need to walk around searching for items. BigSeller sorts the picking list according to the shortest warehouse route, significantly reducing operating time and accelerating packing.

A Long-Term E-Commerce ERP Investment: Growing Without Limits with the BigSeller Ecosystem

For Vincent, adopting a Software as a Service (SaaS) platform at the level of an e-commerce ERP is not merely a reactive tactic. It is a strategic, long-term investment decision. He believes the company's technology infrastructure must be able to adapt and move as quickly as the business grows.

"The BigSeller system is updated regularly. New features and systems are continuously released to address real operational needs. As users, we are very pleased with this ongoing innovation," Vincent said.

He hopes BigSeller will continue developing into an increasingly inclusive ecosystem.

"I believe BigSeller WMS will continue to evolve to better meet the needs of businesses at every scale, from small sellers who are just getting started to enterprise-level companies processing tens of thousands of inbound and outbound parcels every day. We all need a strong infrastructure that allows us to grow together," he concluded.

Toko Tekno's operational transformation from manual methods to BigSeller WMS automation provides an important blueprint for Indonesia's e-commerce industry. In an era of intense price competition, true competitive advantage is no longer determined only by how well a business sells. It also depends on how efficiently and accurately the warehouse can be managed so that every package reaches the customer without errors.
